Customer portal · Client portal · SaaS · Sovereign
“Customer portal software” is a category because every SaaS wants another seat. The search is honest: you want clients to log in, see work, pay, download, and stop emailing you for the PDF.
Buy a seat when the vendor already holds the truth. Build when the truth is your workflow and you are tired of paying rent plus a second login your clients ignore.
When a rented portal is enough
Stripe’s customer portal for invoices you already send there. A shop’s account page if the shop is the business. A PM tool if the client already lives in it. Adding a fourth portal on top is how nobody logs in.
When you should own it
The job is not a ticket in someone else’s product. It is your quote, your site visit, your file, your status. Clients should open your domain. You should add users without us. On final payment you hold the repo. That is Sovereign. We run a live demo of the shape we use ourselves — sample company, not a fake case study.
What “portal” is not
A Notion page with a password. A Google Drive folder. A chatbot. If that is the brief, we decline.
The steps — do these in order
- 01
Name the records the customer must see
Jobs, invoices, files, status. If you cannot name them, buy nothing yet.
- 02
Rent if the vendor is already the system of record
If you live in Shopify, their account page may be enough. Do not rebuild checkout to feel custom.
- 03
Build if the record is yours and the vendor is in the way
Your jobs, your files, your domain. That is a portal, not a plugin.
- 04
Require export and admin in your name
If only the agency can add a user, you do not have a portal.
- 05
Scope one job
Status and files beat a “community” nobody asked for.
If this is the work you need, write. You get a written scope, a price in USD, and a site or product you own. Nothing is billed before you approve it.

Client portal
A client portal instead of a shared drive and a thread of PDFs
Scopes, invoices and files on one login the company owns — not another folder nobody can find, and not a SaaS you rent forever.
CRM
A custom CRM for a small business — when Salesforce is the wrong religion
Most small teams do not need Salesforce. They need customers, jobs, and a follow-up they will actually open. When to stay in a sheet, rent a CRM, or build one you own.
Custom software
How much custom software costs for a small business in 2026
What companies actually pay to replace a spreadsheet or a rented stack: no-code rent, a scoped custom app, and a junior hire. Numbers in USD — not a $500–$500,000 range.
